User Guide

Creating a User Account

  1. In the home page, locate and click the User Registration link in the top navigation menu. 
  2. Fill out the form fully and click submit.
    • The email must be a VTA email (@vta.org). Otherwise, an email confirmation will not be sent out for account activation. 
  3. Check your email for a confirmation link and click on the link to activate your account.
    • If you do not do complete this action, your account will not be usable. 
    • Please check your spam folder if you do not see the confirmation email in your inbox. 
    • If you there isn’t an email in your spam folder as well, please contact Document.Services@vta.org for assistance. 
  4. The confirmation will link navigate you back to the Document Services website and automatically log you in. 

Services

Please make sure you are logged in before using the services below. 

Available Services:

Business Card Printing

  1. Click on the Business Cards button on the home page or Business Card Printing link under the “Services” tab. 
  2. Fill out all of the required fields on each page. Required fields are designated by asterisks. 
  3. After completing a form page, navigate through the pages using the Next/Back button.
    • NOTE: You can only navigate to the next page after fully completing the required fields of the current page. 
  4. You can also use the form Tabs to navigate to other pages.
    • Again, you must complete all of the required fields before navigating to the next page. 
  5. After completing the last page (3 – Request), click Preview to see a digital preview of your business card or click Add to Cart

Standard-Size Printing

NOTE: This form follows a very similar process to Business Card Printing 

  1. Click on the Standard-Size Printing button on the home page or Standard-Size Printing link under the “Services” tab.
    • Fill out all of the required fields on each page. The required fields are designated by asterisks next to the field description. 
    • Page navigation with this form follows the same rules as the Business Card Printing form. 
  2. You may set a due date for your specific service. However, the earliest due date is limited to 3 business days (default option). 
  3. Upload any necessary files on page 1. Accepted file formats are listed in the field description.
    • Please note: uploads are not complete until the filename becomes bold with a red circled “X” to the left of it.
  4. On page 3, if you select Yes for “Would you like additional binding/finishing options?”, and you select Level 2 or Level 3, you may only select from 1 of the 3 categories.
    • NOTE: Categories are listed by cost in ascending order. 
  5. After completing the last page (3 – Binding Options), click Add to Cart with the specified quantity (copies) (default to 1). You may change the quantity on the Cart page at a later time if you wish.
    • Adding the item to Cart will automatically take you to the Cart page. 

Large Format Printing 

Instructions for this service are similar to the Standard-Size Printing with the exception of steps 4 & 5. 

Placing an Order

  1. When you are finished adding items to your order, navigate to the Cart
  2. Click Proceed to Checkout
  3. You will be taken to the checkout page for a final review of your order. A Cost Center Number is required for placing an order.  
    • If you have a Project number, you may include this along with the Cost Center number (Optional) 
  4. Review your order details and click Place Order to submit your order. 
  5. You should receive a notification email that your order has been placed.  

My Account

You can view your account information and submitted orders in your My Account page. This link is at the top of the website. 

Viewing Past & Current Orders: 

To view your past orders, select the Orders tabs on the left hand side of the page. A list will appear where you can select each individual order to see more details.  

Re-ordering Past Orders:

You may re-order previously completed orders. Navigate to My Account > Order and click the “View” button corresponding to the completed order. At the bottom of the page, at the end of the Order Details table, click on the “Order Again” button. This will navigate to the Cart page with all of your previously ordered item(s). 

However, Business Card cannot be re-ordered. Re-orders with this item will show an error in your cart page. 

Logging Out

To log out, click Log Out in the navigation menu or from the My Account sub-menu.
